Dear all,

I hope this email finds you all doing well. I wanted to follow up on the 
kickoff production call and the block schedule for ICANN78. 
Unfortunately, I couldn't attend the call, but I have put together a new 
draft of the block schedule for your review.

We will also be extending invitations for a call next Thursday to 
finalize the block schedule. If you can't make it, please feel free to 
provide your feedback in advance via email.

Our goal is always to create a block schedule that best meets the needs 
of everyone involved. However, as we all know, the community is a 
complex entity with varying priorities. So, please don’t be shy when it 
comes to sharing your scheduling needs and preferences with us. This 
will help us maintain an overall perspective when it comes to the 
objectives and requirements of the community and remain open to change.

Attached, you will find the updated draft of the block schedule, which 
now includes an alternate "track 2" option on Tuesday, providing 2-hour 
blocks of time during the full day of 60-minute sessions. I hope this 
helps resolve some of the concerns raised below.

Thank you in advance for your time and input. Your feedback and 
suggestions are important to us! Lastly, I would like to express my 
gratitude to Mason for his kind words and support of the team. It means 
a lot to me. 😊

Colleagues –

I shared feedback Tuesday with Brenda of ICANN staff regarding the 
designated length of meeting times as envisioned for ICANN78 (see 
attached draft block schedule).  In speaking for the BC and CSG, I 
wanted to share concerns raised by some of our members, who believe 60 
minutes is insufficient for substantial interaction, particularly since 
we have the opportunity to meet face-to-face only periodically.  The 
BC’s and CSG’s asks are to reconsider the meeting times on constituency 
day with an eye toward providing additional meeting time latitude.

I’m not sure if you share these concerns, but I’ve been asked to raise 
them here so you can weigh in as well, if you’d like.  Perhaps this is a 
discussion we can continue during our next ICANN78 production call.

I also want to be clear on one point:  this is ANYTHING BUT a criticism 
of Tanzanica, her team, and all those involved in meeting planning for 
ICANN.  They do an amazing job making sure meetings run smoothly, are 
inclusive, and have all the resources necessary for productive 
discussions.  Our group simply is exploring the possibility of 
additional face-to-face time to facilitate our ongoing work.

Hi Brenda –

Per our discussion earlier, I’m passing along some concerns as shared 
with me by the BC and CSG regarding assigned meeting times at ICANN78, 
particularly those on Constituency Day.  I think some of this feedback 
was shared on the first production call; if so, allow me to underline it.

The BC is particularly concerned about the length of meeting times, 
given the fact that our group is there, all together.  It’s a chance to 
discuss matters in more depth than we can during our regular zoom calls 
and make progress on our priorities and agenda.  60 minutes seems 
insufficient – we would very much appreciate more like a two-hour block.

The same, I would say, goes for the CSG.  The CSG has a great deal of 
considerations on its plate, and we’re likely to have a full complement 
of members in Hamburg.  Again here, one hour is insufficient.  We 
probably have enough to discuss to cover more than three hours, but at 
least two would be preferable.

I also note that the CSG/Board discussion is slated for early Tuesday 
morning.  The CSG will need to prepare for that session.  Will the CSG’s 
meeting slot be on Monday, accordingly?

I can’t tell from the draft block schedule (as shared on the production 
call) where these meetings would be slotted, and I don’t mean to 
unfairly criticize the events team, as they always do a stellar job.  
However, our concerns are well-founded (as, apparently, are others’) and 
we would appreciate reconsideration of SG and constituency meeting times.

In my capacity as BC and CSG chair, I’d be happy to talk with you, or 
anyone at ICANN, further about this.
