with regard to the vote, we can coordinate with all representatives about the support and appoint who will cast the vote on behalf of NCSG.  I think the vote by 20th April is doable.

I need to consult you guys, then we (csg and ncsg) need to set up an election, where we pick someone to vote for us, and if we get two votes for Matthew (ie each side votes for him) we tell staff and Council he is our nominee.  It seems a bit clumsy but since we have had a meltdown in the past, we needed procedures....
I presume staff will set up that election for us, will ask Carlos Reyes who is now in charge of our policy support, not Mary Wong.

Dear CSG and NCSG leaders,
 

I would like to apologize for bringing up this topic at this late stage, and at a time when I know that many community members are focusing on important personal and family matters during the current COVID-19 situation. Please understand that we as staff would not have raised this were it not a Bylaws-related matter.
 

Here is the issue: under the ICANN Bylaws, formal notification of a nominee for either Board seat 13 or 14 must be provided to the Empowered Community Administration at least six (6) months prior to the commencement of that potential Director’s term. As the 2020 Annual General Meeting is due to conclude on 22 October 2020 (which we realize is somewhat earlier than previous AGMs), this means that the Empowered Community Administration must receive the Non-Contracted Parties House (NCPH) nomination of a Director to fill Board seat 14 by 22 April 2020 (and not May as we had advised you previously).
 

I understand that the NCPH’s current plan is to hold the formal vote (via a CSG and NCSG representative and in accordance with the NCPH’s agreed procedures) on or around 29 April. In light of the need to notify the GNSO Chair of the result (as under the GNSO Operating Procedures Keith has the responsibility of notifying the Empowered Community Administration), I would like to ask if it will be possible for the NCPH to complete its vote on a nominee for Board seat 14 by Monday 20 April, to allow Keith time to inform the GNSO Council (as has been customary) and to formally notify the Empowered Community Administration.
 

I and the whole GNSO support team are sincerely sorry for our previous guidance to you that had mistakenly set 21 May as the final date. Please accept our heartfelt apologies for this rare error as well as for the inconvenience that we know our mistake must cause you and your groups.
 

In view of the situation, please be assured that the CSG and NCSG support staff are happy to assist you with conducting the vote as efficiently and smoothly as possible, to minimize disruption and inconvenience to you. Please let me know if you have any questions or concerns with either the timing or mechanism for the upcoming vote and, once again, I am so very sorry for the trouble.
