[NCSG-EC] Evaluation of individual applicants

Dear all, I have checked and for me the Systems works also fine. The only thing that I noted it was that now we cannot see from the table if there is missing evaluations or not. I mean, before we could read the names of EC members that already had voted, but now it doesn't show it anymore.

We have not had a case where constituencies run their own approval process to accept a member that has already been approved at NCSG level. They usually just inform their EC that these are the new members and announce on the mailing list. However, the NPOC and NCUC ECs have the right to do so (for example it is already in NCUC bylaws).
My impression is that, if a constituency does not accept a member, then the member will remain an unaffiliated NCSG member. The provision is to preserve constituencies independence and allow for NCSG to be independent too. And again my interpretation is that NCSG EC officers should act independent of their constituencies, i.e. advance the interest of NCSG at the GNSO level and represent NCSG in their constituencies if they are affiliated with any, (while of course at the same time carry out their duties and report to their constituencies).

I was not aware re NCUC/NPOC's own procedure. How does that reflect on what we need to do once we all (the EC) agree that an applicant should become a member?

Just wanted to draw your attention to the lightweight procedure we drafted for approval of member (it's in Q and A format) the most important part is:
- When the Executive Committee approves your application, you will receive a welcome email, and you will be subscribed to our main mailing list, and will be a member of NCSG. After your NCSG membership has been approved, those constituencies you indicated you want to join, if any, will be notified. Constituencies have their own processes for accepting your application after your NCSG membership application has been approved.
- If the Executive Committee does not find you eligible for membership, you will be sent an email with the reason explaining why your application has been unsuccessful. Your personal information, other than your name (or/ and organization name, if applicable) and the reason for rejection, will be deleted from our database. The EC will also keep a record of its communication with you which might have the email address you provided in your application.
- If the Executive Committee cannot verify your non-commercial interest in DNS policy or if the website you have pointed us to does not resolve , or for other reasons that the Executive Committee deems appropriate based on the charter and these guidelines and your application, you will be sent an email requesting clarification before a formal decision is made. If we did not receive any response within one month of our inquiry, your application will be withdrawn, but you will be welcome to re-apply for membership again in the future. In such circumstances, the Executive Committee will delete your personal data from our membership database other than your name (and organization name, if applicable) and the reason for rejection. The EC will also keep a record of its communication with you which might have the email address you provided in your application.

UI-wise, it is still as clunky, but it does work on my side.
You will notice a lot of "test" stuff in the prompts - just erase it and replace it with your comments.
There is still a bug with organisational applicants. it is in the process of being solved. However at this point anything that will make the pile of unprocessed applications, even if only for individuals, is a good idea.
In terms of process, I suggest that we lower the pile by focusing first on those upon which we all agree (on way or another) For the yeses, Stephanie can give the final greenlight and I can proceed with the status change in the backend, along with mailing list registration, etc.
For the other ones, we can discuss how we want to go about.
Upon recommendation of Farzaneh, it is probably better to keep list and on-call exchanges about potential members to a minimum and keep such things in the back-end; I do believe mailing list and calls are public.
