We are trying to meet this new deadline of April 20, can we organize to hold our election next week in time to offer our name?? The CSG thinks they can. Sorry to push but we have to get this done faster now due to ICANN's revised timelines....since we are agreed on the candidate, it is just paperwork.... cheers Steph -------- Forwarded Message -------- Subject: PLEASE READ: NCPH election for Board seat 14 Date: Tue, 7 Apr 2020 20:17:14 +0000 From: Mary Wong To: Dean Marks , Stephanie E Perrin , Bruna Martins dos Santos , Joan Kerr , Rafik Dammak , Selli, Claudia , csg-excomm at icann.org , Barbara Wanner CC: Chantelle Doerksen , Maryam Bakoshi , Andrea Glandon , Carlos Reyes Dear CSG and NCSG leaders, I would like to apologize for bringing up this topic at this late stage, and at a time when I know that many community members are focusing on important personal and family matters during the current COVID-19 situation. Please understand that we as staff would not have raised this were it not a Bylaws-related matter. Here is the issue: under the ICANN Bylaws, formal notification of a nominee for either Board seat 13 or 14 must be provided to the Empowered Community Administration at least six (6) months prior to the commencement of that potential Director?s term. As the 2020 Annual General Meeting is due to conclude on 22 October 2020 (which we realize is somewhat earlier than previous AGMs), this means that _the Empowered Community Administration must receive the Non-Contracted Parties House (NCPH) nomination of a Director to fill Board seat 14 by *22 April 2020*_ (and not May as we had advised you previously). I understand that the NCPH?s current plan is to hold the formal vote (via a CSG and NCSG representative and in accordance with the NCPH?s agreed procedures) on or around 29 April. In light of the need to notify the GNSO Chair of the result (as under the GNSO Operating Procedures Keith has the responsibility of notifying the Empowered Community Administration), I would like to ask _if it will be possible for the NCPH to complete its vote on a nominee for Board seat 14 by *Monday 20 April*_, to allow Keith time to inform the GNSO Council (as has been customary) and to formally notify the Empowered Community Administration. I and the whole GNSO support team are sincerely sorry for our previous guidance to you that had mistakenly set 21 May as the final date. Please accept our heartfelt apologies for this rare error as well as for the inconvenience that we know our mistake must cause you and your groups. In view of the situation, please be assured that the CSG and NCSG support staff are happy to assist you with conducting the vote as efficiently and smoothly as possible, to minimize disruption and inconvenience to you. Please let me know if you have any questions or concerns with either the timing or mechanism for the upcoming vote and, once again, I am so very sorry for the trouble. Thank you all very much for your kind understanding. Best regards, Mary -------------- next part -------------- An HTML attachment was scrubbed... We have now confirmed that neither CSG? nor NCSG have any other candidates to put forward for Board Seat 14 other than Matthew Shears. In terms of the process set forth in Annex 7 of the GNSO Operating Procedures for the election of Board Seat 14: https://gnso.icann.org/sites/default/files/file/field-file-attach/annex-7-ncph-election-procedures-seat-14-24oct19-en.pdf?our GNSO NomCom Appointee (NCA) will be included in the consultation process as an advisor.? Given the close relationship that NCSG has with Carlton Samuels, our NCA, has NCSG consulted with him so that we may "tick" this item as complete off of the Annex 7 procedure?? If not, will you be OK with taking that point on? From our review of Annex 7 within the CSG and our internal discussion, we think we will be ready to have the formal election as set forth in Section 5 of Annex 7 by the end of the month.? Therefore, we would like to propose Wednesday, April 29 for the vote if that works for the NCSG.? Per consensus of the CSG, I will be taking on the role of the official voter for the CSG.? Please let us know if this date will work for the NCSG or if the NCSG wishes to propose an alternative date. Looking forward to hearing back from you and sending good thoughts to all and please stay safe and healthy. Best regards, Dean *Dean S. Question for Carlos and other ICANN staff: will you be supplying written ballots (one for NCSG and one for CSG) or instead may be we just have either an email exchange or a phone call whereby we each cast our votes? This is my first time through this process, so forgive all of my questions. I have been designated to cast the vote for CSG and am fine with whatever process you let us know is appropriate to follow. We are already to the point where the choices for the vote/ballot are: (i) Matthew Shears, or (ii) None of the Above. Many thanks and stay well (these days it seems that retaining sanity is equally important/challenging to keeping physically healthy), Dean Dean S.
