It's been more than a month. - I would like to talk to you about procedural issues we need to pay attention to. Some procedures are being drafted. But we need to see what we need to codify among our customary practices -I would like to tell you my plans regarding the applications forms: 1. No address after our meeting will be collected. I want to ask you about the distinction between org and individuals and whether we should distinguish between them 2. I would like the applicants to have a better understanding of what NCSG does and show this in their statement of interest. I am not at all suggesting more eligibility criteria but on the form of application, I would like the applicants be given hints as to what NCSG does. - Deletion of applications after inactivity (we need to delete their data in case of rejection) - Our privacy policy - Inactivity of EC members and what to do about it Farzaneh -------------- next part -------------- An HTML attachment was scrubbed... If they do not wish to opt for it or if they do not check in, they will be unsubscribed from the mailing list, and will be moved to the inactive members list. They can always reactivate by sending an email to the Chair. I have to ask Stephanie how to phrase this better but I think we need to have active and inactive members list and their consent to be on the mailing list. also when they fill in our application forms, they need to consent that if their application is approved, they will be added to our mailing list and will be receiving updates. I don't know if it's there already but it should be. Farzaneh -------------- next part -------------- An HTML attachment was scrubbed... And unfortunately, you are not active at all. I only had Robin attend the NCSG EC call today. This was only the second call since I took the position as Chair. We live in various parts of the world and follow the ICANN rule that each time we need to rotate the time slot so that everyone suffers equally. This means that calls might be scheduled at your 6 am or 1 am. That is no excuse not to attend the call. Also I would not like Maryam to send more than two reminders to evaluate applications. We really are not here to send reminders for the tasks. It is ok to send apologies but at least you need to respond and send the apology. You are a part of EC and get NCSG travel support to carry out tasks, if you do not do so, then you need to step down and allow other members that are willing to carry out EC tasks to be appointed. We will come up with a document that will have EC responsibility and remedies for inactivity of EC members. I will also suggest a term limit in appointments. Is there a backlog of applications at the moment? I answered into one of the tasks just recently, but I didn't see a reply, which was about the "significant" opposition and particularly its minimum size in EC. The deadline for submissions is critical to allow for confirmed reservation numbers as required for visa and travel arrangements. Please note that if you are *a GNSO supported traveler with a designated hotel accommodation funding, a hotel room is automatically secured for you*, please DO NOT book your own hotel as it is un-reimbursable. Please note that when requesting travel support, in the interest of fairness and in light of budget restrictions we would like you to take the following into consideration: 1. Respond timely to ICANN Travel regarding your upcoming travel to Barcelona. 2. If you require a visa to enter the country, please make sure to acquire your visa immediately. Please contact the ICANN travel team to let them know you will need a visa. 3. Requests past the deadline will be handled on a case by case basis by ICANN. All additional travelers added after the 90-day deadline are subject to availability, may NOT be placed in the same hotel as their funded traveler groups, and may not be able to attend due to visa issues. 4. If possible please book direct travel requests. Detours and multi-stop trips are unfortunately not guaranteed. 5. Strictly limit your travel from your home to the ICANN meeting venue. 6. Approved date of arrival/departure for this meeting is Friday, 19 October ? Friday, 26 October 2018. 7. If travelers want to extend their stay this must be done at their own expense and should contact the hotel directly once the ICANN hotel confirmation has be sent to them. 8. *Privately Booked Reservations*: ICANN will not refund or take over accommodations directly booked by the funded traveler. If a replacement has an existing hotel reservation, they will need to cancel their reservation and ICANN will not be able to take over their reservation. Many thanks for your cooperation!
