I hope to be able to send it out before Copenhagen meeting, preferably early next week. Comments welcome. ---------------------------------8<--------------------------------- Dear Chair, NCSG Executive Committee is conducting Constituency Review, as required by NCSG Charter 2.3.3, to determine if any recommendation should be made to the Board regarding a change in status of any Constituency. To that end we ask you to answer to the questions below. 1a) What is the purpose of your constituency, as defined in your bylaws? (Preferably both link to your bylaws in the web as well as copy of the relevant text.) 1b) Are all your members also members of NCSG (yes/no)? (This is just formal confirmation that you fulfill the requirement in NCSG Charter.) 1c) What is the the common interest or background of your membership and the focus of your group? 2) Do you have a publicly dynamic, publicly (world-readably) archived mailing lists and where their archives can be found (URL)? Please provide a brief description of the list(s), in particular if they are used for actual decision-making or only discussion. If you have other, non-public fora that are used for decision-making or significant discussions within your constituency, please describe them as well. 3) Do you participate actively in relevant NCSG and GNSO PDP Working Groups or Work Teams? Please provide as complete as possible list of such groups or teams and names of your people who've participated in them over the years 2015 and 2016, noting also any who've been Chairs or Co-Chairs. 4) Have you participated actively in submitting comments and other policy statements to the NCSG and GNSO? Please provide as complete list as possible of such comments and statements you've made during 2015-2016, with links to where they've been published. Please also describe the process how your constituency makes and agrees on public comments, in particular including if and how non-members can contribute. 5) Do you have a list of your current membership publicly visible in the web? If so, where (URL)? Do you have at least 10 participants who've signed up to an updated SOI? If your public member list does not have links to SOIs, please provide a list (links to SOIs) of at least 10 of your members. For all questions: If you have plans or projects in progress that may affect your situation in the future, including but not limited to changes in your bylaws, please describe them. Please reply to me by 15 May, 2017, even if you can't come up with complete answers to all questions by that time. We will to ask for more details and clarifications as needed and engage you in discussion about possible problems, and welcome any questions or concerns you may have about this before answering. The intent is to complete the review by ICANN59 meeting in Johannesburg, but we may take longer if needed. Is that still the case and this discussion is open to all our members at the mtg and the schedule on the ICANN website labels it inaccurately? Or is this now a discussion that is just open to NCSG EC members at the meeting? Likewise for this one, I would like to invite all NCSG members in, and I indeed thought we'd already agreed on that. But we should still set the agenda, and while we should of course give the membership a voice, we have the first bite so to speak. So we could, for example, set up our own agenda with one item like "open mike for members", or we could have no items of our own initially and ask for suggestions in ncsg-discuss to start with, or even go to the meeting with no agenda at all and make it just one open mike session. I'm open to all alternatives. Opinions? Note the deadline is even earlier than before: ICANN wants names by 23 March, one week from now. -- Tapani Tarvainen ----- Forwarded message from Terri Agnew ----- Dear All, In order to service your travel needs for ICANN59 in Johannesburg in a timely fashion, please submit your ICANN59 Meeting database to gnso-secs at icann.org by 23 MARCH 2017. A timely response would be appreciated in view of visa issues and the OFAC review. Please note that if you are a GNSO supported traveler with a designated hotel accommodation funding, a hotel room is automatically secured for you, please DO NOT book your own hotel as it is un-reimbursable. Please note that when requesting travel support, in the interest of fairness and in light of budget restrictions we would like you to take the following into consideration: 1. Respond timely to ICANN Travel regarding your upcoming travel to Johannesburg. 2. If possible please book direct travel requests. Detours and multi-stop trips are unfortunately not guaranteed. 3. Strictly limit your travel from your home to the ICANN meeting venue. 4. The approved arrival and departure dates are 25 June to 30 June to ensure your participation in the meetings. If travelers want to extend their stay this must be done at their own expense and should contact the hotel directly once the ICANN hotel confirmation has be sent to them. 5. If you require a visa to enter the country, please make sure to acquire your visa immediately. Please contact the ICANN travel team to let them know you will need a visa. Message-ID: <20170321102521.GA4993@tehanu.it.jyu.fi> Dear EC members, Would you be available for our next meeting on April 7 at 1300 UTC? I know the time isn't convenient for all, but after coming Daylight Savings Time changes there are exactly two hours in the day that aren't between 00 and 06 for any of us, if I got it right: UTC 1300 Toronto 9am Los Angeles 6am Banjul 1pm Helsinki 4pm Melbourne 11pm and UTC 2000 Toronto 4pm Los Angeles 1pm Banjul 8pm Helsinki 11pm Melbourne 6am In either case it'll go past midnight for someone if we need more than an hour, and someone's got to wake up at 6am in any event (and for Monika it'd be Saturday morning). So unless some of you like meetings at odd hours, I propose to have our calls at either of those hours, perhaps alternating or deciding case-by-case depending on people's availability, or sticking with the first one if Robin prefers mornings and wants to make life easier for Monika. While at it, looking at the calendar for subsequent meetings the next one could be May 5, then June 2, then some day in Johannesburg, then July 21 or 28, then August 18 or 25. If you already know you have conflicts with these dates, please let me know. -- Tapani Tarvainen From pileleji at ymca.gm Tue Mar 21 12:27:00 2017 From: pileleji at ymca.gm (Poncelet Ileleji) Date: Tue, 21 Mar 2017 10:27:00 +0000 Subject: [NCSG-EC] Next EC meeting - April 7 at 1300?
